Why organize contacts
The more conversations you handle, the harder it gets to find the right person. In Zapini, three features solve this: tags, custom fields, and CSV import. Together they turn a loose list of numbers into an organized, easy-to-filter CRM.
Using tags
Tags are short labels you assign to a contact — for example Customer, Cold lead, or VIP. The same contact can hold several tags, and you create them as your business needs.
- Assign tags on the contact screen or in bulk.
- Filter lists and segment audiences for campaigns using tags.
- Use consistent colors to identify groups at a glance.
💡 Tip: standardize tag names with your team before you start. Tags like customer, Customer, and customers fragment your filters needlessly.
Custom fields
Every tenant can define its own custom fields (modular CRM) to store exactly the information that matters to your business — such as a document number, birthday, subscribed plan, or lead source.
Values are saved with the contact and appear in the lead details on the Kanban funnel, keeping support and sales data in one place.
CSV import
Already have a contact base in a spreadsheet? Use CSV import to bring it all in at once. The basic flow is:
- Prepare a CSV file with columns such as name and phone number.
- Open the contacts screen and choose the import option.
- Map each file column to the matching field in Zapini.
- Confirm and review the import result.
Keep numbers in international format (with country code) to avoid duplicate contacts.
Putting it together
With contacts imported, tagged, and enriched with custom fields, it becomes simple to segment campaigns, prioritize support, and promote the right contacts to leads on the Kanban funnel.
