Managing multiple WhatsApp numbers with the instance selector

Understand how the global instance selector lets you manage several WhatsApp numbers with data fully isolated between them.

What an instance is

In Zapini, each connected WhatsApp number is an instance. You can have as many instances as your plan allows — for example, one number for sales, another for support and another for a branch.

Each instance has its own contacts, conversations and messages, fully isolated. Data from one number never appears in another.

The global instance selector

At the top of the panel there is the global instance selector. It controls which number you are viewing across the whole system: Messages, Contacts, CRM, campaigns and reports all show only the data of the selected instance.

  1. Click the selector at the top of the screen.
  2. Choose the instance (number) you want to manage.
  3. The entire panel reloads in the context of that number.

💡 Tip: before sending a campaign or opening a conversation, check the selector to confirm the right instance is active. This prevents replying to a customer from the wrong number.

Data isolation between numbers

Per-instance isolation is a security and privacy rule in Zapini:

  • Conversations and contacts belong to a single instance.
  • To see another number's data, you must switch the instance in the selector.
  • There is no "mixed" view of all numbers at once.

Each instance can also have its own AI automation, agents and service queues, configured independently.

Add more numbers

To connect a new number, go to Instances > New instance and choose the connection type (QR Code or Cloud API). After connecting, the new number appears automatically in the selector.

Best practices

  • Use clear names for instances (e.g. "Sales", "Support", "Downtown Store").
  • Check each number's status: it should be connected.
  • Assign agents and queues per instance to organize your service.
💡 Tip: sending limits, automation and API tokens are per instance. Plan each number's volumes separately.
