Navigating the Zapini dashboard
The dashboard brings together everything you need to serve customers in one place. Knowing where each feature lives helps you work faster. Here are the main areas and how to switch between multiple WhatsApp numbers.
The main sections
- Messages: the realtime inbox, with service queues and agent assignment.
- Contacts: customer list, tags, CSV import, and CRM fields.
- CRM and Kanban: lead funnel with drag-and-drop across stages.
- Automation and AI: AI agents, visual Flows, functions, and knowledge base.

The global instance selector
In Zapini, each connected WhatsApp number is an instance. If you manage more than one number in the same account, the global instance selector defines which instance you're currently viewing.
The selector usually sits at the top of the dashboard. When you choose an instance, every screen — Messages, Contacts, CRM, automations — shows only the data for that number.
💡 Tip: always check which instance is selected before replying or launching a campaign, to make sure you're using the right number.
Data isolation per instance
Data is fully isolated per instance. One number's contacts, conversations, and messages never appear while another instance is selected. This keeps the organization and privacy of each number completely separate.
So if you have multiple numbers, you'll only see a specific number's conversations after selecting that instance in the global selector.
How to switch between numbers
- Find the instance selector at the top of the dashboard.
- Click it to see the list of connected numbers.
- Choose the instance you want.
- The dashboard reloads that number's data automatically.
Instance status
Each instance shows a status, such as connected or disconnected. If a number appears disconnected, reconnect it (via QR Code, Cloud API, or public link) before sending messages from it.
With the dashboard mapped out and the selector under control, you can manage as many numbers as you need without mixing up conversations.
