A quick guide to set up your Zapini account, connect your first WhatsApp number and start serving customers with AI assistance.

Zapini is a platform for talking to your customers on WhatsApp using artificial intelligence. In just a few minutes you can connect a number, organize support in a realtime inbox, and switch on automated replies. This guide covers what to do right after creating your account.
1. Confirm your signup and open the dashboard
After signing up, log in with your email and password. You'll land on the main dashboard, where you control WhatsApp connections, conversations, contacts, automations, and account settings.
2. Connect your first WhatsApp number
Zapini calls each connected number an instance. There are three ways to connect:
- QR Code (Zapini Gateway): scan the code directly in the panel, or send a public connection link for someone else to scan.
- WhatsApp Cloud API (Meta): the official Meta API connection, ideal for higher volumes.
- Coexistence: use the WhatsApp Business app and the Cloud API on the same number at the same time.
For the QR Code connection, open WhatsApp on your phone, go to Linked devices, and point the camera at the code shown in the panel.
💡 Tip: the public connection link is perfect when the person holding the phone isn't the one managing the panel. Just send the link and ask them to scan the QR.
3. Get to know the live chat
Open Messages to access the realtime inbox, similar to WhatsApp Web. There you can send text, media, and voice notes (converted automatically), mark conversations as read, organize service queues, and assign conversations to team agents.
4. Import or create contacts
In the Contacts section you list, tag, and organize your customers. You can import a CSV spreadsheet and create custom CRM fields to store details specific to your business.
5. Turn on automation and AI
Connect an AI integration (OpenAI) and create a per-instance AI agent to reply automatically. You can pause and resume automation per conversation, build visual Flows, register AI functions, and set up a knowledge base. When you need to reset automation state without deleting messages, use the clear AI sessions feature.
6. Explore what's next
- CRM and Kanban: track leads in a funnel and drag cards across stages.
- Campaigns and scheduled messages: bulk sends with anti-block limits.
- Integrations: Telegram, Instagram, Slack, RD Station, and more.
That's it! With your number connected and the inbox open, you're ready to serve your first customers.
